Privacy policy

Adola is a B2B marketing agency operated by ADOLA AGENCY LTD. We are the data controller for the personal data described here. This policy covers the agency. The scheduling product Adola Meet has its own policy at /privacy/meet.

Who this applies to

  • Website visitors — anyone browsing adola.co.uk.
  • Prospects — people who contact us about working together.
  • Clients — businesses we have an active or past engagement with, and the people at those businesses we work with.

Website visitors

We use Google Tag Manager to load Google Analytics 4. This sets cookies (_ga, _ga_*) and records pages visited, time spent, referrer, approximate location from a truncated IP address, and broad device characteristics. We do not run advertising pixels, retargeting tags, or social-network trackers. You can stop GA4 from running by installing the official Google Analytics opt-out browser add-on or by clearing the cookies in your browser settings.

Prospects and clients

When you contact us by email, phone, or through a discovery call, we keep the contents of that correspondence so we can reply and follow up. If we begin an engagement, we then hold the data needed to deliver and invoice for the work:

  • Account and billing — company name, billing contact, VAT number where applicable, and payment details for invoices.
  • Engagement materials — your ideal customer profile, target accounts, brand assets, and any briefs or background you share with us. Stored in Notion, our project workspace.
  • Performance data — read access to the channels we run for you (CRM exports, ad accounts, analytics) so we can attribute spend to outcomes and report.
  • Correspondence — emails, messages, meeting notes, and shared documents produced during the engagement.

Legal basis for processing

  • Contract — to deliver an engagement and meet our obligations to a client.
  • Legitimate interests — to respond to enquiries, run the website, and measure site performance in aggregate.
  • Legal obligation — to keep records that UK tax and company law require us to keep.

Sub-processors

We use the following third-party services to run the agency. Each is bound by contract to use the data only to provide the service named.

  • Sanity — content management for the website.
  • Vercel — hosting for adola.co.uk.
  • Google — Tag Manager and Analytics 4 for site analytics; Workspace for our email, calendar, and document storage.
  • Notion — project workspace where we store client engagement materials.
  • CircleLoop — VOIP telephony for the agency phone number.

International transfers

Some sub-processors process data outside the United Kingdom. Where they do, transfers are covered either by an adequacy decision or by the UK International Data Transfer Agreement and standard contractual clauses, as appropriate.

How long we keep data

  • Website analytics — Google Analytics 4 retains event data for 14 months by default.
  • Prospect correspondence — up to 24 months from your last contact, after which we delete or anonymise it.
  • Client engagement records — for the duration of the engagement and for six years after it ends, to meet UK statutory record-keeping requirements.
  • Financial records — six years, as required by HMRC.

Your rights

Under UK GDPR, you have the right to ask us for a copy of your data, to correct it if it is wrong, to delete it, to restrict how we use it, to object to processing based on legitimate interests, and to receive your data in a portable format. To exercise any of these rights, email hello@adola.co.uk. We will reply within 30 days.

If you are unhappy with how we handle your data, you can also complain to the UK Information Commissioner's Office at ico.org.uk.

Changes to this policy

We will update the "Last updated" date at the top of this page when this policy changes. Material changes that affect active clients will also be notified by email.
